"- Serve as office reception and manage screen incoming and outgoing telephone calls, visitors and verify appointments with appropriate staff or provide requested information Manage the procurement of office supplies and maintain stock for regular replenishment on timely manner e.g. office stationeries, office subsistence such as drinking water, foods and beverages - Supervise an office maid by ensuring that she/he met the work standard requirements for the cleanliness and tidiness for office - Liaise with internet provider, IT outsource services and help desk for regular IT maintenance such as set up laptop for new staff, manage Wi-Fi password for visitors and other IT equipments issues Support Logistics and Procurement Coordinator in preparing a necessary items for program's outreach activities such as stationeries, materials and other related to logistical support matter Prepare the relevant documents PR and PO for procurement of local services and office supplies for approval, follows up the status of purchase orders with vendors to ensure that materials have been delivered according to the term and condition of the purchase order - Liaise with finance teams to ensure accurate and timely payment of invoices according to the term of payment with vendors - Act as the first point of contact with office building regarding administrative issues such as office maintenance, facilities, utility bills and annual fire evacuation etc. - Assist HR and Logistic Manager for relevant administrative duties such as updating staff contact lists and organization chart, facilitating the process of obtaining ""F"" visa for expats, coordinating with the revenue department regarding TAX Payer ID card, and supporting office registration for CTIP project - Responsible for handling domestic official trips for the office staff members. The duties include - prepare travel procurement package, travel itineraries and coordinate with transportation vendors by negotiating the prices and services and provide other support staffs in case of emergency on travel matter - Assist in preparing a necessary documents for staff members to reimburse travel expenses for making with the payment process - Responsible for routine office activities and manage office tasks to ensure smoothly operations support such as manage meeting room reservation, arrange BrowBag session, process staff ID card, business card, car parking stamps, and messenger service - Coordinate with mobile service provider to open new mobile phone number for expat staffs and find appropriate package for them - Provide translation services for program team at occasion by researching potential translation vendors services as assigned - Undertake other duties as assigned "
