Job Summary The primary focus of this role is to manage the end-to-end recruitment process, maintain up-to-date Job Descriptions (JD), and ensure the integrity of the ISO 9001 Document Control system. You will be responsible for ensuring that all quality-related documentation is audit-ready and that the annual review process is executed efficiently.
1. Recruitment & Onboarding
Manpower Planning: Coordinate with Department Heads to identify hiring needs, define candidate qualifications, and finalize scopes of work.
Sourcing & Selection: Post job advertisements, screen resumes, conduct initial interviews, and facilitate the selection process.
Onboarding: Manage pre-employment documentation and prepare onboarding checklists/schedules for new hires.
Creation & Updates: Collaborate with supervisors to develop and standardize Job Descriptions, ensuring they accurately reflect current roles.
JD Registry: Maintain the Master JD Registry and perform annual reviews (or updates as roles evolve) to ensure 100% accuracy.
3. ISO 9001 Document Control
Document Management: Administer the ISO 9001 document system, including document numbering, version control, effective dates, approvals, distribution, and obsolescence.
Master List Maintenance: Keep the ISO Master List (SOPs, WIs, Forms, and Records) updated and accessible.
Annual Review: Coordinate with Process Owners for the annual review of all controlled documents.
Internal Audit Coordination: Facilitate internal audits by scheduling, gathering evidence, recording NC/OFIs, and tracking CAPA (Corrective and Preventive Action) closure.
Management Review Support: Consolidate data for Management Reviews (KPIs, audit results, complaints, risks), draft minutes, and track follow-up actions.
External Audit Readiness: Ensure all documentation is prepared for Surveillance and Recertification audits by external bodies.
4. Miscellaneous
Perform other HR and quality-related tasks as assigned to support department and company goals.

Qualifications & Requirements (Mindset First)

Education: Bachelor’s Degree in HR, Business Administration, or a related field.
Experience: 1–3 years of experience in Recruitment or Document Management.
Technical Skills: * Proficiency in MS Excel and cloud-based document tools (Google Drive, OneDrive, SharePoint). o Excellent touch-typing skills with the ability to handle high-volume documentation accurately and quickly.
ISO Knowledge: Previous experience with ISO 9001, Document Control, or Audit Coordination is a significant advantage.
Required Skills
Systematic Approach: Strong ability to manage version control and complex document hierarchies.
Coordination: Excellent follow-up skills to ensure tasks are closed within deadlines across various departments.
Communication: Clear verbal and written communication; ability to handle confidential employee information with discretion.
Compliance: Basic understanding of PDPA and data privacy principles.
